Job Title: Bookkeeper
Position Summary:
We are seeking a detail-oriented, reliable, and proactive Bookkeeper to manage the organization’s daily financial operations. This role is responsible for handling accounts payable and receivable, processing payroll, reconciling accounts, posting journal entries, and generating accurate monthly financial reports. The ideal candidate will demonstrate strong accounting knowledge, high integrity, and discretion, especially when dealing with sensitive financial and personnel matters. This position also involves occasional administrative and patron-facing duties, including support during concerts and answering phones.
Key Responsibilities:
Accounts Payable & Receivable
- Process all incoming invoices and outgoing payments accurately and promptly
- Maintain and update vendor records, resolve discrepancies, and ensure proper documentation
- Prepare and send customer invoices; monitor accounts receivable and follow up on outstanding payments
Payroll
- Administer biweekly payroll, including benefits, reimbursements, deductions, and taxes
- Ensure compliance with federal, state, and local payroll laws and reporting requirements
- Maintain up-to-date payroll records and employee information
General Accounting
- Prepare and post journal entries (e.g., accruals, adjustments, interdepartmental transactions)
- Reconcile bank and credit card accounts monthly
- Assist with month-end and year-end closing procedures
Financial Reporting & Compliance
- Produce monthly financial statements and budget vs. actual reports
- Support the annual audit process, tax filings, and adherence to internal financial policies
- Provide timely and accurate financial data to leadership
Administrative & Patron Support
- Maintain organized digital and physical financial records
- Collaborate with the Executive Director and staff to improve financial systems and procedures
- Handle confidential information with discretion and professionalism
- Answer phones and engage with patrons in a courteous and helpful manner
- Provide onsite assistance during concerts and events, as needed
Qualifications:
- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field
- 2–5 years of experience in bookkeeping, accounting, or financial management
- Proficiency in QuickBooks Online and Microsoft Excel
- Exceptional attention to detail and organizational skills
- Strong communication and interpersonal abilities
- Proven ability to meet deadlines and work independently in a fast-paced environment
- Experience in nonprofit or arts administration is preferred
- Commitment to maintaining confidentiality and exercising sound judgment
